Opportunity: The Dream Center is seeking an energetic, highly organized, and people-oriented Community Operations Coordinator. This role is the operational heartbeat of our daily activities, serving as the primary point of contact for our volunteers, local partners, and community members. Working closely with leadership, you will handle the day-to-day administration of our center, coordinate event logistics, and manage our volunteer schedules.
Responsibilities & Duties
Participant Engagement, Programs & Events
Assist in planning and executing community events, workshops, volunteer initiatives, and engagement programs.
Coordinate event logistics, schedules, communications, registrations, and post-event follow-up activities.
Serve as the on-site logistical lead during events by supporting volunteers, troubleshooting issues, and ensuring smooth program operations.
Collaborate with staff and stakeholders to gather participant feedback and improve program effectiveness and community impact.
Support the creation and distribution of promotional materials, including flyers, brochures, website updates, newsletters, and social media content.
Community Engagement
Build and maintain relationships with community partners, vendors, and local organizations.
Maintain and update a database of community partners, volunteers, and outreach contacts.
Assist leadership with scheduling meetings, outreach efforts, and partnership communications.
Recruit, coordinate, and oversee volunteers supporting programs, events, and community initiatives.
Represent the organization professionally and help foster a welcoming, inclusive community environment.
Data & Vendor Management
Source and coordinate vendors for events, facility maintenance, repairs, catering, and operational needs.
Request quotes, track invoices, coordinate deliveries, and maintain vendor communication. Secure permits and manage event setup and breakdown logistics.
Track, analyze, and report program data, including attendance, volunteer participation, outreach metrics, and community engagement outcomes.
Support leadership with data collection and reporting for grants, partnerships, and organizational planning.
Daily Operations & Administration
Welcome visitors, answer phone calls and emails, and maintain a warm and hospitable atmosphere at the center.
Provide administrative and operational support to leadership and staff as needed.
Maintain organized records, calendars, and internal communications.
Assist with general office operations and perform additional duties that support the organization’s mission, vision, and community impact goals.
Tools & Systems Experience
Proficient in Microsoft Office 365 and Google Workspace for communication, scheduling, reporting, and document management.
Experience using project management platforms such as Trello, Asana, or similar tools to coordinate tasks, timelines, and team collaboration.
Working knowledge of Adobe Creative Suite and Canva for creating promotional and program materials.
Familiarity with email marketing platforms such as Mailchimp for newsletters, event promotions, and community outreach communications.
Desired Skills & Experience
Associate’s degree in Business Administration, Communications, Public Relations, Nonprofit Management, or a related field required; Bachelor’s degree preferred.
1–3 years of experience in administrative support, community engagement, customer service, event coordination, nonprofit operations, or program support roles.
Minimum of 1 year of leadership or supervisory experience, including coordinating volunteers, interns, or support staff.
Demonstrated ability to manage projects from planning through execution while meeting deadlines and staying within budget.
Creative and innovative thinker with the ability to contribute ideas for programs, events, and community engagement initiatives.
Strong organizational, multitasking, and project management skills with close attention to detail in fast-paced environments.
Excellent interpersonal and communication skills with the ability to engage diverse stakeholders, community members, and partners professionally.
Ability to lift, move, and set up equipment or supplies and remain on your feet during events and community activities.
Passion for community-centered work and a commitment to serving diverse, multigenerational populations within Harlem and surrounding communities.
Schedule & Benefits
Salary Range: $47,776 – $60,000 annually, commensurate with experience and qualifications.
Full-Time 40 hours weekly
FLSA Classification: Exempt
This position requires flexibility to work occasional evenings and weekends in support of programs, events, and community initiatives.
